We require an appointment plugin for our wordpress website for our staff and clients. We are in online education. • The appointment plugin will need to be completely integrated with our forum plugin • Each user should access these 2 main features by one login. This means that by logging into the site a user will then have access to his unique profile page, unique appointment calendar, and the forum. • The plugin should know and display the time zone of each user • the main purposes of the plugin will be: i) for our admin to create, modify, or cancel appointments for each of our teachers. a) Student WILL NOT be currently using the website b) only admins will have ability to create, modify, or cancel appointments. c) Admins will have the ability to create different types of appointments. d) if a teacher or student requests a reschedule or cancellation, our admins should be able to change the details of the class on the teacher’s schedule. To make things easier it would be best to have the option of the admin to cancel all classes in a day or week as well as being able to cancel each class one by one. e) the appointment plugin would need to work with our cancellation policy in calculating the correct number of total hours each teacher teaches. See more information below in section v f) After each creation or modification of a lesson, an email should be sent to the teacher to confirm the lesson. The teacher should then be able to login and press a button that confirms the lesson. Once a teacher confirms the lesson, a notification email should be sent to the admins, teacher, and student g) After each cancellation of a lesson, a notification email should be sent to all parties ii) for our teachers to input their availability and view their daily, weekly, or monthly schedules. a) teachers should be able to set their available times to work in their own time zones, and their availability should be able to be viewed in the admin’s time zone c) if a teacher clicks on a particular class, all information for that class should show (student name, age, email, class type, current page in particular book, button for sending lesson notes/homework document after class) see below iii) to keep a student database, and keep record of where each student is in each book they are using. a) students recorded on a database, which is accessible by our admin and teachers who are teaching that student. The info for the student will be given b) all our teachers will be required to enter the page number they finished on of each textbook at the end of each class. This info should automatically update the info in the student’s database iv) for our teachers to send files directly to students email addresses in the form of a button located within each particular appointment. a) If a teacher does not sent a .doc file with this button to the student within 24 hours, a reminder email should be sent to the teacher to send the lesson notes. b) If a teacher still does not use the button to send lesson notes to the student after 32 hours, an email should be sent to both the teacher and admin, so the admin can check with the teacher. v) to calculate total number of each type of lesson taught for each teacher at the end of the month, and the total number of each type of lesson each student had for payroll purposes a) admin will need to search and view each teacher’s hours taught for each type of class for a given time period. Ex. From June 1st-30st Teacher John taught: - Conversational lessons: 30 hours - Science lessons: 6 hours - Writing class: 10 hours b) The hours should adjust automatically for cancellations as the admin changes the status of a class to cancelled by student within 24 hours, etc. c) Since we have a special cancellation policy, we would need to make sure the plugin would recognize it. Maybe the easiest way to solve this problem is a dropdown menu for our admin to choose from and the result coded in automatically.
