Process optimization

I need you to develop some software for me. I would like this software to be developed for Windows using PHP. In a nutshell the following functions must be implemented: Employee account: The users of this account must be able to have the following • Lead generation (user is able to send a lead to the pointed department, he must specify the type of lead and input information about the lead) • Registration of worked hours • Declaration of expenses (for example travel expenses) • Holiday requests • Register breakdowns (this must be like a ticket system, so automatically the maintenance department will get a massage with the information with a status of open. If maintenance have solved the problem they can change the status to closed) • Activities sheet • Specific proceedings that must be registered – I will provide you the sheets that must be implemented in the user environment. Specific accounts for departments: • Such as maintenance – that will be able to get automatically a notification of the tickets that are made of maul functions etc – • Management accounts that will be able to access every account and see an overview of all the processes. Etc etc. Overall requirements: • System must be approachable from separate devices (mobile, desktop, tablet) • Standard and super user accounts • Real time data • Each employee has their own account with secure login . Each employee has their own profile in the system (like a facebook profile). Where a picture can be uploaded, name, function, time of service, working location, etc. which is approachable for every employee (smoelenboek). . Create several departments for different employees § Specific deparments • Employee (related to the specific department) § Department Sales • Employee (related to this specific department) § Department Administration • Employee ( related to this specific department) § Department Operations • Employee (related to this specific department) • Posibility of making a ticket (lead) and assign this ticket (lead) to a specific person or department. • Tickets must be reachable by everyone. The system must be transparent for everyone so every employee can track certain leads or can get inspired by other employee’s ideas. • Only people who are assigned to the ticket can respond in the conversation (so not everyone can respond, but everyone can look!) • Posibility to register certain activities earlier mentioned • Workhours, declaration expenses, holiday requests, register breakdowns, activities roster and specific proceedings. Examples In the following some fictional examples to make an idea of what is needed: #1 Lead generation John works at a parking in Amsterdam. The parking is every Wednesday night empty. John knows that on every Wednesday night there are big shows being performed in Club X. A lot of people come to Club X but do not necessarily park in the parking where John is working. He has an idea to make a promotion to attract these customers to the parking. John logs into his account and makes a ticket with the proposal. He assigns the idea to Matthew, who is an employee of sales. Matthew responds on the ticket and says he will make a promotion. In one month a big promotion is made to park every Wednesday night for a cheaper tariff. #2 Lead generation Bill works for 10 years at the parking in Den Haag. He knows the neighborhood very well and has a lot of connections. By talking with some people he discovers that a competitor is going to leave their parking establishment in the near future. They don’t know who is going to run the parking after that. Bill wants to communicate this golden tip to business development. He logs into his account and creates a ticket with the golden tip. Brian, the business development manager immediately responds to the ticket and makes an appointment with the land owner. Within 6 months the company has a new parking. Bill gets a bonus for his golden tip. #3 Other ideas Jimmy is a parking host and an oldie in the parking business. He knows all the ins and outs of the parking business and what the competitors are doing in the environment. He knows that lately the competitors increased their tariffs to a higher amount. The tariff in the own parking is way cheaper. He knows that the parking would benefit of a higher tariff and that customers will still come. He logs in the system, creates a ticket for operations. The operation manager responds and thinks it is a good idea. The tariff is adjusted. #4 Daily processes Chris works in a parking and every day he has to fill in his hours. He logs into his own account when he starts his shift. He puts in starting time and after he is done he puts in finishing time. He presses “save” and his time is recorded. Chris’ manager can see he recorded his time. Chris also has made travel expenses. He logs in the system, fills in his expenses and presses save. The manager can see his travel expenses and at the end of the month the manager can download the filled in form and make the payment for the declaration to Chris.
