[url removed, login to view] people, whom aren’t Zoho Users, have their own module that contains there phone number and email address. When the office creates an appointment for them, they upload the appointment into the CONTACTS module with a date/time for the appointment and link it to the Sales Staff module. We have a workflow that then sends each appointment to the corresponding sales staff the night before the appointment, this workflow will need to be altered slightly to include all appointments for the following day in one email, instead of the sales staff receiving 3 separate emails each night. As Contacts and subsequent Sales Orders are linked to the "Sales Staff Module" reporting should be relatively straight forward. What I need is for a workflow to generate a 'report or table' of all “Undelivered” sales to be sent to each Sales Person in the Sales Person module weekly. If there is no data, no email should be sent. (Criteria to be supplied) Secondly another weekly report/table created and emailed to each Sales Staff that will be made up of all sales due to be paid in the current week. This Report/Table to also include total number of days 'worked' as outlined in 2. with a corresponding 'Sales Staff Daily Rate' figure entered beside number of days worked. Email only to be sent if there is data in the report/table. Lastly a weekly report of all Sales Orders that meet the criteria "Sales Staff Commission Paid is True" for each sales staff. I know I can create a report and then a schedule for each sales person, the challenge is we have more than 20 sales staff, and they turn over regularly, so I wish to use a workflow to solve this labor intensive task.

All our appointment setters have access to the screen from their PC, which shows pictorially what appointments can be booked/availability of consultants across different states. We currently have one TEAMUP calendar per state. As an appointment is booked, a manager will remove that appointment from the screen so no other appointment setter double books the sales consultant for that day/time. It is all very labor intensive, at the end of each day we then manually upload to Zoho Contacts module a list of all appointments for the following day with the corresponding data so it can be sent to the sales staff. I want to integrate this functionality into Zoho, whereby, sales consultants preferred appointment times (they can vary from day to day/sales staff to sales staff) and availability (sick days, RDO etc) can be manipulated by either the Sales Staff module, or through a portal login. (Similar to what I read about Zoho People). Staff available/booked to show in different colours. We will need to discuss if there needs to be a separate calendar for each state as there are 10-15 sales staff per state and it may get too cluttered. Lastly, to make all this possible, we will need Zoho to fetch from our Dailler MYSQL database every couple of minutes any appointments not yet entered into Zoho. Once each entry is fetched, it would enter a 1 in the "Sent to Zoho" column and also enter the date/time in the zoho date/time column. Once the appointment is entered into the Contacts module, it would sync with the newly created calendar. Therefore if Ian English (Sales Staff Module) was available on Monday 26th of September, 2016 at 9am, 12pm and 3pm, and it just fetched an appointment where Ian English was listed as Sales Staff, and 9am 26/09/2016 was listed as appointment date time, the corresponding calendar would be updated to show Ian is booked for 9am showing the URN, and still available for the 12pm and 3pm time slots on that specific day. If the appointment called in to our office and rescheduled/cancelled prior to the appointment date/time, the "Contact - Wrap Up Code' would reflect either a cancellation or reschedule and therefore would not be sent out the night before to the sales staff.
