Our organisation is looking to not only update its professional online image amongst its membership, but to also improve the channels of communications between the organisation and its members. New web technology should be utilised where possible, while maintaining a high usability and simplicity for users. A full description is provided below. ## Deliverables continued from above: Definitions ? Content Page -This is a page that contains previously defined content such as images and text. ? Back-office - This is where all administration setup of the website will occur. ? WIYSIWYG - A visual "what you see is what you get" editor, for creating pages and content. ? Website Functional Sections **[Mandatory]** Content pages should simply copy over most of the current content from the existing website. Some will need to be accessable to the public and some to members only. Pages that should be included, but not limited to are as follows (in no particular order); ? Awards ? Competitions ? Contacts ? Documents and Forms ? Links ? Newsletters and notes publications ? Operations (Members) ? Records ? Regional Clubs ? Sport activity News and updates **[Mandatory]** News and updates should be handled in a blog format, with newest entries at the top of the page, with pervious entries following it. Photo Gallery **[Mandatory]** This should be administrator controlled and moderated, with all submissions being either through a web form or through email. Special attention should be paid to the respective copyright holders of all photographs and artworks - Creative Commons licensing may need to be handled. Calendar **[Mandatory]** Mainly for events but also for any significant org date, the calendar page should be moderated by the administrator as well as anyone with access to the website Back-office via iCal etc. An email contact should be made clear for members who wish to add their events to the official calendar. Classifieds **[Mandatory]** Initially, this should also be a static page moderated by the site administrator with submissions being either through a web form or simply via email. An initial template should be provided for the administrator to work with. Possibly should be intergrated with [login to view URL] or [login to view URL] . Member register **[Optional]** This function is not essential for the initial website but should bring all of the current register entries and fields into an electronic format. There is too much data to maintain in a static page format, so this will need to be implemented by dynamic, database-driven software. Membership **[Phase 2?]** Members need to interact with the organisation's website in an automated / self service way. ? Renewals o Automatic renewals should be optional. o Manual renewals should be default. o Mail-in payments also need to be supported. ? Payment Gateways; ? The preferred payment gateway for renewals and payments should be an Australian online payment gateway merchant. An alternative would be to use the merchant facilities from the Commonwealth bank (the bank we use). ? Lockouts and Non-paying Members o Members should be reminded about their ending memberships. o Members who have no payed by the certain date should have their memberships o automatically suspended. o Once suspended, members should be reminded to become current again. ? Reporting o Back-office software should easily support reporting on all types of members. ? New membership entry o The process for new members should be made clear and straightforward. The process consists of filling out details and payment ? Mass Mailouts (currently using Mail Chimp) o Mailouts should be initially supported by email and capable of sending HTML formatted emails from a WYSIWYG editor within the website Back-Office. o The option of adding SMS contact options should be possible. Members will need to be required to enter their current mobile phone number for this service to be successful. ? Additional ratings applications o Once logged in, members should be able to apply for new ratings or upgrades to their membership. ? Accident and Incident reporting via 3rd party web based provider (already developed) ? List / KML file of PZs and SZs with possible integration into Google Maps ? our content channels on Youtube, Vimeo & Flickr should be able to be embedded ? Member Accounts o Members should be able to self moderate their own personal information, such as their current address and contact details. ? Member only pages o These pages should be restricted to members based on their classification, rating or level of membership. ? Terms and Conditions, Privacy Policy for Public and Members o Legal advice will need to be sought to build a terms and conditions and a privacy policy for the membership section of the website. Software and Hosting Environment ? Website CMS should be standard e.g Joomla CMS, version 1.6. All modifications and additions to the CMS must be packaged as modules, plug-ins,modules or extensions, rather than hard coded modifications. ? Membership software should be standard e.g Account Expiration Control, by Valanx. This package should provide all the functions necessary for implementing the membership system as standard. ? As a requirement, no proprietary or closed-source software should be used. NO LOCK IN. ? Reoccurring software costs should be kept to a minimum where possible. Hosting Environment ? All software should be capable of running on a PHP5, Mysql 5.5 environment, served by either Apache or Lighttpd v1.4 ? Software should be capable of running in a restricted shared hosting environment as well as a single tenant hosted environment. Maintenance Regular maintenance of the website is essential to maintain the usability and security of the website. A 6 or 12 monthly maintenance routine to be carried out by a system admin or developer who can fix any ongoing issues and update all of the software being used to it's current versions, keeping the website safe from security vulnerabilities, and with a clearly quoted cost of ongoing upkeep. Backups A regular and strict backup scheme should be put into place, which would involve weekly and monthly backups of the website to an off-site location, which several individuals within the organisational structure have access to. All backups should be routinely checked and loaded into a test environment, so ensure that the involved parties are aware of the procedure for restoring backups,in the event of a disaster recover situation. Design, Look and Feel The look and feel of the website should be professional and modern, while maintaining a high level of usability for users from all demographics; this includes forgoing the inclusion of newer technologies which less technology literate users may not be familiar with. The colours and design of the website should adhere to those set out by the org's rebranding, which May include a new logo and new stationery. Visually, the design should be clean and easy to read. Where possible, all block text should be black on white, to increase the contrast and readability. The overall website design should keep possible advertising space in mind, so online advertising can be incorporated at a later stage if required. The specifics of the design, such as menu placement and operation, will be left up to designer as the expert in this area. Mobile Support Mobile support is important for all websites and is just as important for the organisation's website. * Video and animated content; All video or animated content should be implemented using HTML5 and CSS3 methods. Adobe Flash should not be used. * Alternate mobile layout; If possible an alternate layout should be employed for all mobile devices, making the website and the content easily accessible by devices with minimal screen real-estate. An alternate layout should be compatible with iOS and Android operating systems at a minimum. An option to switch back to the default layout is essential. Usability Useability of the website is important and should be evaluated by a sample set of the vast membership so determine the real world useability of the website. Progressive enhancement and graceful degradation are required for all of the "Web 2.0" enhancements like AJAX and advanced Javascript scripting.
